Business Services Coordinator

Key duties will include:
- Support the client facing staff in Energy establish client meetings, including organising and coordinating developing business initiatives inter-state e.g. hotel booking, establishing meetings with clients, travel arrangements.
Client-focus sector support: communication with clients; external and internal liaisons; preparation of on-brand PowerPoint presentations, client-tailored capability documents and other materials that support external client engagement
Coordinate bids/proposals for Energy, this will include the use of InDesign where relevant.
Coordinate the creation and updates to project case studies and project imagery in collaboration with the sector leadership team at project inception; key milestones; and project completion
Coordinate business development and client meeting requirements of Energy and Energy Advisory ensuring they are completed and implemented effectively and shared with the Marketing and Communications team.
Support the Business Services function heads as required e.g., Finance, Human Resources, marketing, Legal
Work with the internal Energy Advisory and Energy leadership teams to deliver industry leading materials that support external client engagement
Supporting our people
Manage the workflow of Energy, including making best use of business systems and working closely with the local Business Management System representative to ensure project compliance
Provide project coordination support to project managers and project principals in Energy (Brisbane and wider team in Australia)
Provide administrative support to the Energy teams including travel arrangements, formatting documents (reports and proposals), taking minutes in meetings
Reporting to the Head of Energy Queensland, respond promptly and collaboratively with requests from the Business Services Lead to contribute to the wider-office initiatives when required e.g., events, facilities, invoicing, timesheets, travel bookings
Relief font of house for answering phones, receiving visitors, sorting and distributing mail.
- What you will bring:
- Experience working with multiple stakeholders and teams, and supporting staff at a senior level
- Exposure / Experience using InDesign and working with bids and proposals, including collation of medium to complex documents
- Intermediate to advanced user of Word, PowerPoint, Excel
- People/Stakeholder management and relationship building skills
- Project management e.g., tenancy, procurement, travel, stationery, proposals
- Proven ability to work to deadlines and stakeholder management
- Team player focused on best outcomes for business
- Professional excellence approach, and a drive for continuous learning
