**THE ROLE**:
**KEY RESPONSIBILITIES**:
**This dynamic position will be responsible for, but not be limited to**:
- With a primary responsibility of supporting the Managing Director, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
- Prepare internal and external corporate documents and presentations for team members and industry partners on behalf of the Managing Director
- liaise with the Information and Communication Officer to manage policies, procedures and processes as required
- assist with external compliance requirements such as audits and learning programs
- Coordinate flow of information to senior executives
- Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
- Take minutes at management meetings, follow up on actions and proactively work with managers to assist with the completion of tasks and actions
- Support management tasks such as recruitment, training and other projects as required and approved by the managing director
- Provide guidance to administration officers to ensure office is well maintained and managed
- Oversee the IT functions including licenses, software issues and maintenance schedules etc.
- Work with team members to improve services and systems from an administrative perspective
- Work with management team to identify and action improvements in the administration of the business
- Ensure correspondence and documentation is managed efficiently and confidentially
- Identify and report any risks to the Manager
- Maintain current knowledge of the NDIS, Quality and Safeguards, price guides and guidelines and proactively drive your personal learning and growth
- Positively contribute to the achievement of the business objectives whilst maintaining a focus on the business values
- Adhere to all policies and procedures and engage in performance improvement and coaching
- Proactively participate in team communication, including meetings
- Actively and positively participate in training provided
- Other responsibilities as and when directed by Your Plan Manager

- Employees will be expected to understand work procedures relevant to their department and may aid lower classified employees or volunteers concerning established procedures to meet the objectives.
**ESSENTIAL REQUIREMENTS**:
- Understanding of and commitment to the NDIS, person-centred supports and services to people with a disability, their teams and service providers.
- Minimum 3 years' experience in an executive administration role reporting directly to upper management
- Exceptional written and verbal communication skills
- Demonstrated excellent time-management skills and the ability to organise and coordinate multiple projects at once within a high-pressure environment
- Demonstrated **advanced** skills in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems, troubleshoot and problem solve easily
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Ability to keep company confidences working with a high level of sensitivity
- Demonstrated experience supervising the workflow of small teams related to the provision of administration and office management
- General knowledge of the principles of human resource management and be able to assist administration officers with on-the-job training.
- Demonstrated ability working with budgets and expenses
- NDIS Worker Screening and any other mandates relating to the disability sector, including COVID-19 vaccination must be obtained prior to approval of employment
- Own laptop
**PREFERRED CRITERIA**:
- Knowledge of the NDIS, Plan Management and Support Coordination
- Experience with Compliance Audits in Disability, Insurance, Financial Services, or a similar field
- Experience with grants, presentations, and awards writing
- Experience in relevant CRM systems (MYP)
- Experience with Xero
- Experience in developing and maintaining internal processes and filing systems
