**ABOUT THE POSITION**
The Office Manager is responsible for overseeing the administrative functions within Integral Group’s Sydney operations. They will lead and coordinate administrative activities while also supporting the Sydney and Australian leadership team. A major component of this role is being responsible for administrative functions for the Sydney office while also being versatile and reliable to support the many duties required for effective day-to-day operation of the business. Periodically there will be a requirement to provide administrative support for Integral Group’s Melbourne and Brisbane offices. Operational leadership, mentorship and support should be provided consistent with company processes, values, and timelines to ensure that regional, office and company goals are met.
**Responsibilities**:
**Administration**:
- Manages maintenance of office equipment, furnishing and other company owned property. Acts as a point of contact for office building management.
- Manages office stationary, kitchen and personal protective equipment inventory orders.
- Receive, sort and distribute daily mail/deliveries. Ensure availability for outgoing mail/deliveries.
- Coordinates travel and car hire arrangements.
- Assists with onboarding and offboarding of local staff.
- Organises and coordinates office events.
- Contribute to the culture in the business and promote the company values.
- Assists Managing Principal in establishing and tracking regional goals and priorities.
- Key contributor and coordinator for Corporate, Social and Environmental Responsibility initiatives and tracking, liaising with local and regional representatives and leadership for local and regional actions.
- Undertake activities as required to ensure office health and safety requirements are being maintained, including periodic training requirements and reporting.
- Manages Building Practitioners Registration tracking.
- Assists Managing Principal with extra ordinary announcements and operation plans, for example COVID policies.
- Supports Managing Principal with monthly expense reconciliation.
- Responsible for administration filing structure.
- Document preparation and formatting assistance to staff.
- Ensures organisation charts are up to date.
- Promote and ensure staff are keeping the office environment tidy and organised.
- Supports interstate administration where required.
- Coordinates information requests from our Global offices.
- Analyses administrative systems and provides recommendations for improvements.
- Learns and utilises new software and systems as required.
**Corporate**:
- Liaises with corporate services on all templates and manage implementation of template changes across all document types within the local office.
- Communicates administrative corporate initiatives.
- Provides assistance for Integrated Management System (IMS) team in keeping system documents up to date and preparing for audits.
- Works with other teams and working groups on projects that focus on opportunities for excellence within Integral Groups processes**.**

**Marketing**:
- Provides assistance where required to Marketing and Administration teams
- Assists with the generation and quality checking of proposals.
- Assists with the coordination of client events.
- Assists with updates to marketing material if required.
- Provide assistance to Managing Principal in tracking business development opportunities and reporting.
- Assists with the coordination of business to business meetings with clients and presentations.
