**Job Description**:
- Reporting to the Australia Office Head, this role will provide full administrative support to members of CPP Investments’ Sydney Office
- Managing calendars on behalf of local team, working with internal and external assistants to coordinate meetings (including proactive calendar management to avoid and address potential clashes, triaging incoming meeting requests, booking meeting rooms, guest registration and catering orders where relevant)
- Assist with making and managing travel arrangements for the team via travel management company and online booking tools, including flights, transfers, hotels and visa requirements, preparation of itineraries and any other ad hoc travel related bookings and overall co-ordination of both interstate and international travel
- Management and processing of staff expenses, including reconciliations of corporate credit cards, foreign currencies and personal expenses adhering to all company policies
- Assists in coordinating meetings, action items and other administrative needs of the team
- Ensures team members are prepared for all meetings and any carry forward action items coming out of these meetings
- Process invoices into accounts payable system, prepare payment authorizations and arrange payments
- Maintaining electronic and paper files following established document management procedures
- Represents Real Assets in various forums and in meetings with external and internal guests to Real Assets
- Acts as an ambassador for Real Assets and plays a key role in ensuring that Real Assets is viewed as a professional, friendly, easily accessible and approachable partner for internal and external stakeholders
- Handles highly sensitive and confidential matters relating to the daily activity of the department and/or organization
- Works cross functionally with other team members and departments to ensure we remain aligned with our vision, goals and values
- Accommodates and completes staff requests within the deadlines and on a timely basis
- Provide coverage from time to time on Facilities & Office Services duties to support Sydney Office Manager
- Provides administrative support, other duties or projects for Sydney Office as assigned
**Qualifications**:
- Minimum high school diploma: college or university degree preferred
- Minimum of 5-8 years’ experience in an administrative role; preferably in a financial, banking or professional services firm; interest in the investment industry or learning about it considered an asset
- Experience coordinating and familiarity with global office structures preferred
- Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi
- task; prior work experience in a fast-paced high-performance organization preferred
- Pro-active self-starter who initiates ideas and owns and delivers against work undertaken in a way that adds value to the corporation and contributes to CPP Investments achieving its business objectives
- Exceptional communication skills (verbal and written) in English: Fluent in English
- Superb interpersonal skills and demonstrated relationship builder who develops lasting positive and value-adding relationships
