**The Role**

A traditional Executive Assistant role that requires a high-level of confidentiality with added component of some HR support as well as engagement with the team and suppliers across multiple office locations.

Reporting directly to the Managing Director, the EA will be responsible for a broad variety of administrative tasks that facilitate the Managing Director’s ability to effectively lead the organization.

This is a diverse, hands-on role which requires professionalism, interpersonal skillfulness, energy and high attention to detail.

**Tasks include but are not limited to**:

- Provide sophisticated calendar management for Managing Director
- 15 minute morning meeting with Managing Director
- Liaise with Clients and other businesses on behalf of the Director
- Preparation of pre-listing kit, CMA report and proposals
- Preparation of training material for Directors
- Oversee the implementation of the Company’s sales and property management strategies
- Administering Directors instructions to team members
- Support team members to ensure they are able to meet their deadlines
- Coordinate conference and travel arrangements for the team
- Attend meetings to take minutes and distribute action plans as required
- Coordinate the recruitment process from advertisement placement
- Maintain both hard and digital copies of employees' records
- Maintain staff templates register
- Request further information from Human Resource support services
- Data entry of all leave records.
- Produce reports for Payroll processing. Eg. Sick leave/Annual leave
- Assist with performance management procedures and maintain notes
- Coordinate training sessions and seminars as required
- Support staff communication - research and implement communication program
