Chevron Australia has exciting opportunities available for 4 Administration Assistants to join the Administrative Support team.
Positions are available in the following areas:
Production/Maintenance
- Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other teams in the resolution of day-to-day administrative and operational challenges
- Roster management coordination including regular engagements with each coordinator to ensure sufficient coverage of all shift panels (Maintenance and Production)
- Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports
- Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed by Maintenance and Production Superintendent
North West Shelf (NWS) Project
- Major Event Management & Workshops for example: peer assists, peer reviews and lessons learned
- Maintain electronic mailboxes for incoming documents from operators
- Catalogue Operator documents in new Information Management system
- Maintain facilities engineering information database for onshore and offshore medium capital projects, maintenance performance, HSE performance
- Finance decision including checking against Business Plan and preparing response to operator
- Facilitate NWS Asset Team monthly/annual workflow incl action tracking and Priorities for performance Meetings and X+Y Forecast Meetings
- Key interface and liaison for stakeholders requiring time and/or information from senior leaders / internal partners
- General administration support
Admin Assistant - Functions
- Communication (internal/external)
- Event Management for internal and external stakeholders (set up of group meetings/peer reviews/town halls)
- Service & purchase request support using Smart by GEP
- Onboarding / offboarding employees, contractors, secondees including internal moves
- Office management: including office allocation, stationery, supplies & equipment support
- Microsoft suite support
- Assist with coordinating office seating plans within department and provide support to facilitate personnel moves
- Document approvals: Coordinate the flow of all documents for approval/signature, including meeting notes & briefing materials
- Manage induction process for new employees and contractors (including office logistics, access, equipment, building induction etc.
- Assist with site travel processes using the INX system

- Able to work autonomously or in a team environment and support the additional team members
- Adaptable and flexible to last minute changes, requests as well as identifying process improvements for implementation across the Admin Team
- Proficient in Microsoft Office suite
