Our on-site Chatswood Office needs a reliable, well-organised Office Manager to handle day to day operations with a focus on efficiency and time management.
This role is Part time (3 days a week or 4 days with flexibility during school hours) and would suit someone looking to re-enter back into the workforce.
Here’s a snapshot of your role as Office Manager/Property Assistant:
**Office Manager**:
Maintaining a clean and enjoyable working environment
Implementing and maintaining procedures/office administrative systems
Point person for maintenance, mailing, couriers, supplies, equipment, bills and errands
Ensure filing systems are maintained and current
Fielding telephone calls, receiving and directing visitors
Handling external and internal communication including management systems
Ensure security, integrity, and confidentiality of data
Manage relationships with vendors, service providers, and tenants; ensuring that all items are invoiced and paid on time
Organise and schedule meetings and appointments
Provide general support for the Property Director and Engineering Manager
**Or as Property Assistant**:
Processing accounts and invoices online
Coordinating the day-to-day tasks required to manage two significant commercial buildings, collaborating with tenants, contractors, the client and JLL personnel
Assisting with coordinating repairs with tenants and contractors
Creating regular property reports and providing clients with regular updates on matters including finance, tenant queries and lease management issues
Maintenance of financial and legal aspects of the buildings on the JLL Property Management system
Liaison with tenants with a customer service-based mindset

Experience in a similar role, making sure everything in the office runs smoothly, able to work independently with little or no supervision, well organised, flexible and enjoys the administrative side of commercial property management.
We are looking for someone who can demonstrate excellent client/tenant relationship skills, is confident, a well-spoken individual with excellent written and verbal communication skills, initiates problem solving and attention to detail.
A current Certificate of Registration will be required along with proficiency in Microsoft Office.
