Kolbe Catholic College is seeking a dedicated individual for the role of Administrative Assistant to the Deputy Principal (Staff). As a crucial member of our team, you will provide essential service support and assistance while adhering to the college's policies and procedures, ensuring a high level of confidentiality. This role requires initiative, resourcefulness, and the ability to make decisions in alignment with the Deputy Principal (Staff)'s specific wishes.

**Responsibilities and Specific Duties**:
- Provide administrative support to the Deputy Principal (Staff).
- Manage and maintain the Deputy Principal (Staff)'s diary/calendar with discretion for optimal operation.
- Prioritise issues requiring immediate attention.
- Prepare paperwork for appointments, meetings, and files for various stakeholders.
- Assist in correspondence preparation and manage documents for distribution.
- Conduct necessary research for the Deputy Principal (Staff).
- Develop presentations and printed material as required.
- Coordinate approval of staff professional development, bookings, and related processes.
- Support Human Resources processes, including recruitment, onboarding, and offboarding.
- Oversee staff return-to-work processes and compliance tasks.
- Monitor attendance at training sessions and maintain up-to-date records.
- Coordinate delivery of training with external providers, if necessary.
- Demonstrate initiative and innovation in improving office systems.
- Attend out-of-hours functions, meetings, and ceremonies as required.
**Other Duties**:
- Reception and Student Services cover during absences.
- Other administrative duties as required and negotiated with the Principal, Deputy Principal(s), Business Manager.
- Attend non-teaching staff and team meetings as required.
**Position Classification**:
Education Support Officer - Category C, Level 2
**Key Criteria**:
- Current National Criminal Records Check and Working with Children Check Card.
- Current Level 2 First Aid Certificate (desirable).
- Effective planning and organizational skills with the ability to manage multiple deadlines.
- Excellent interpersonal and communication skills.
- Professional telephone and customer service etiquette.
- High level of literacy, numeracy, and information technology skills.
- Ability to work independently and within a team environment.
- Maintain the highest levels of confidentiality.
- Commitment to the value and ethos of Catholic education.
- Generosity of spirit, optimism, adaptability, and enthusiasm.
