**About the Role**
The Emergency Planning & Administration Officer plays a key role in strengthening emergency preparedness and response across Swinburne University. Reporting to the Manager of Campus Security and Emergency Planning, this position is instrumental in coordinating logístical, administrative, and compliance-focused activities that contribute to a safer university environment. The role ensures the institution adheres to relevant safety regulations and standards, helping to minimize risks through organized training, clear communication, and effective emergency protocols. By supporting critical safety initiatives, the officer enhances the university’s ability to respond efficiently to emergencies and maintain a secure campus.
In addition to emergency planning responsibilities, the officer contributes to a variety of broader Facility Management functions. This includes participating in committees and training sessions, handling invoice and work order processing, and assisting in the administration of contracts and operational tasks. The role also involves organizing and promoting emergency response and fire warden training programs, maintaining accurate records of emergency personnel, and providing comprehensive administrative support to relevant safety committees. By balancing both emergency preparedness and operational support, the officer serves as a crucial link between safety planning and daily facility operations.

**About You**
To be suitable for this role you will need to have experience in the below key accountabilities:
- History of providing administrative support to a high performing team in a dynamic and fast-paced environment, to include document management and development, task tracking, process planning and improvement, and correspondence management.
- Demonstrated experience successfully coordinating a program of work in a large and complex organisation.
- Proven ability to work effectively as a member of a team and autonomously, to prioritise tasks, solve problems independently and respond calmly to instances of high pressure.
- Strong customer focus to deliver quality service.
**Qualifications**
A completion of a degree without subsequent relevant work experience; or completion of an advanced diploma qualification and at least one year’s subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training.
