As **Project Administrator **you will be responsible for coordinating activities and resources in support of the major project's division during the various stages of the construction process. This position liaises with multiple departments and may be co-ordinating multiple projects simultaneously. The incumbent is to provide a wide range of project administration and support services and will liaise with various interrelated areas, including but not limited to, project management, on site project supervision and administration (payroll). We are looking for an exceptionally organised individual with a high commitment to customer service, attention to detail and a can-do attitude. A team player that demonstrates high levels of initiative and responsiveness to team and client needs. The versatility to adapt to changing conditions and working environments is a fundamental element of the role. **Key Responsibilities** - Compile monthly documentation for relevant submission for progress claims and liaise with Project Managers to ensure claims are submitted in accordance with Contract Conditions. - Reporting and monitoring on projects as directed. Assisting Project Managers with financial reporting as required including Cost-to-Complete reports. - Create and maintain project files (hard copy and electronic copy), including on site assistance with plans and project records as directed by the Project Team. - Preparation and submission of operation and maintenance manuals upon completion of project. - Ensure external providers are set up in relevant project specific portal/system to enable works to be carried out on site. - Engage labour hire in conjunction with the Project Manager ensuring the correct project specific information is given to all parties involved. - In conjunction with Project Manager prepare and forward relevant notices within nominated timeframes. - Provision of project and product information to staff, clients and visitors when required. - Ability to promptly seek out and coordinate client requests for information when required. - Contribute to the efficient and effective functioning of project administration by liaising with various teams in order to meet organisational objectives. - As required, become involved in "on the job training" of others. - Participate in any other relevant/appropriate training programs as requested by the company. - Accurate data entry and systematic maintenance of project records. - Recording and archiving completed project records in a systemic manner to enable ease of retrieval if required. - Ability to respond to a range of telephone queries and receive and direct information. - Perform tasks in a manner which reflects and responds to continuous improvement. - Use excellent customer service skills, establish and maintain effective working relationships with other employees, suppliers and stakeholders. **Essential Criteria** - Demonstrated experience in providing sound administrative support. - Demonstrated high level initiative and strong organisational skills, with attention to detail and the ability to identify improvements, determine priorities, multi-task and effectively and efficiently meet strict deadlines. - Well-developed interpersonal and communication skills, including strong written skills and the ability to work effectively in a team. - Strong computer skills, including expertise with Microsoft Word, Microsoft Excel, electronic mail including Outlook functions and ability to adapt to current accounting packages and client-based portals as required for use. - Good oral communication skills, including an ability to provide effective and appropriate advice and information to a variety of people. - Strong organisational and administrative skills, including an ability to prioritise workload, meet deadlines and manage a varied workload in a busy environment. - Demonstrated ability to take initiative in problem solving and in exercising judgement to a range of operational issues. - Proven ability to draft timely and accurate correspondence and compile detailed reports. - Ability to establish and maintain effective working relationships with co-workers, supervisors, other company personnel and external vendors. **How to Apply**:
