Key responsibilities of this role

**Key responsibilities of this role include**:

- Maintain the diary of the Executive Director, including organisation of meetings, appointments, conferences, seminars, accommodation and travel arrangements.
- Communicate and liaise with various levels of management, the general public, senior executives within the Department and from other government Departments and agencies, as well as the private sector.
- Assist callers, screen and intercept telephone calls and redirect enquiries to appropriate areas.
- Contribute to effective team work by developing an understanding of the roles and duties of other team members and working collaboratively to deliver services to the business unit.
- Contribute to the effective administration of the office including the maintenance of various registers while complying with statutory and departmental requirements.
- Perform and monitor purchasing of goods and services, through the use of Corporate Card, Purchase Orders and goods receipt, to ensure expenditure is within departmental internal procedures and financial delegations.
- Coordinate all incoming correspondence and assist in the timely preparation of Ministerial and Executive correspondence and other documentation relating to Cabinet and Parliamentary processes in accordance with Departmental standards with mínimal supervision.
- Format and proof read correspondence and reports in accordance with the Departmental Style Guide and directives as well as coordinate, register, distribute and monitor progress of incoming correspondence, confidential Cabinet and other briefing material with the assigned supervisor to determine action and priorities.
- Undertake financial, human resource and administrative duties as required.
