**Company Overview**:
Just Focus Commercial Cleaning is one of the largest service providers for Woolworths supermarkets, managing over 200 sites in the portfolio. The company specializes in a wide range of cleaning services across industries such as office/commercial, aged care/retirement, education, retail, medical, industrial, sports/leisure, and hospitality.
The Project Administrator plays a pivotal role in supporting the effective and efficient delivery of cleaning services projects. This position involves managing administrative tasks, coordinating with various teams, and ensuring that project timelines, budgets, and compliance standards are met. The Project Administrator will work closely with the Operations and Project Managers to ensure that client expectations are met, and the projects are delivered on time and within budget.
Project Coordination & Administration:
- Assist in planning, scheduling, and coordinating cleaning projects across multiple client sites.
- Track project progress, ensuring deadlines are met and flagging potential delays.
- Maintain comprehensive project documentation, including contracts, work schedules, and client communications.
- Ensure all team members have the necessary resources and information to perform their tasks efficiently.
- Working closely with all stakeholders to ensure projects are completed on time.
- Prepare, review, and negotiates variations in service agreements with clients to ensure service standards are met.
- Oversees the work of cleaning crews, evaluates project performance, and reports on any deviations or required changes in work orders.
- Coordinate with suppliers and contractors to ensure that cleaning products, equipment, and staff are allocated efficiently across projects.
- Co-ordinate with relevant team to ensure all projects adhere to occupational health and safety regulations.
- Manage documentation, including project plans, outlines, service agreements, and compliance paperwork related to health and safety regulations.
Education & Experience:
- Diploma or Certificate in Business Administration, Project Management, or related field.
- 2+ years of experience in a project administration or coordination role (experience in the cleaning industry is advantageous).
- Experience working with project management software (e.g., MS Project, Trello, Asana) and administrative tools (e.g., MS Office Suite).
**Skills**:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask and manage several projects simultaneously.
- Attention to detail and accuracy in data entry and record-keeping.
- Problem solving skills with a proactive and flexible approach.
- Basic understanding of budgeting and financial management.
Pay: $70,000.00 - $75,000.00 per year
