Job Description

We are seeking a highly motivated and organized coordinator to join our team in Brisbane, AU.

This role will be responsible for supporting and coordinating various onboarding, planning, and resourcing related activities for small, medium, and large service projects in Australia, New Zealand, and other countries in the Asia Pacific region.

Key Responsibilities
  • Support and assist members of the field service group with administration tasks as required
  • Resource allocation and booking using Saviom resource management planning tool
  • Data/system maintenance of Saviom with project and employee information
  • Effective communication to the wider group/team of upcoming outages/projects using various in-house tools
  • Creation and distribution of various onboarding/project engagement documentation using DocuSign
  • Booking of travel for both permanent and contractor staff mobilizing to projects
  • Capturing and reconciling of travel/AMEX credit card transactions
  • Support and capture of various onboarding/site inductions requirements for staff mobilizing to projects
  • Maintenance and system-level administration of various client induction portals
  • Ticket and license management of all employees travelling to projects
  • Support, coordinate, and manage various stakeholders in regards to IT assets being utilized in the field/projects

Required Skills and Qualifications

A strong candidate will have:

  • Resource allocation and project allocation experience
  • Previous experience in mobilizing teams/crews to projects in an industrial industry
  • Strong communication skills in dealing with all levels within an organization from trades to senior management
  • Team player with the ability to work, communicate effectively, and respectfully (English written and oral) and solve problems under pressure in a complex environment, collaborating with international and culturally diverse teams
  • System administration experience maintaining tools/systems would be beneficial
  • Recruitment/onboarding experience would be beneficial
  • Good understanding of Office 365, Sharepoint, and other relevant IT software
  • Full working rights in Australia
