Senior Intake Coordinator Job Description

The Senior Intake Coordinator plays a pivotal role in ensuring seamless patient experiences across our services, leading the intake team to provide empathetic and clinically sound support. Key responsibilities include conducting mental health assessments, building partnerships with patients and families, and fostering timely communication with referrers.

Key Responsibilities
  • Lead and mentor the intake team to deliver exceptional customer service and support across referrals, admissions, and waitlist management.
  • Conduct comprehensive mental health assessments, ensuring patients are safely matched to care, while maintaining high standards of professionalism and empathy.
  • Develop and nurture strong relationships with patients, families, and carers, guiding them through complex funding and admission processes.
  • Serve as a key liaison for medical professionals, ensuring transparent and timely communication, while promoting professional partnerships.
  • Refine intake systems, data quality, and digital workflows, ensuring seamless integration of CRM and electronic medical records.
  • Maintain compliance with relevant regulations, embedding a culture of care, equity, and continuous improvement.
Requirements
  • Current registration and qualifications as a mental health clinician (psychiatry, psychology, nursing, social work, or occupational therapy).
  • Experience in intake, triage, or admissions within a hospital or mental health setting.
  • Commitment to industry standards, codes of ethics, and patient-centered practice.
  • Leadership capability – able to coach, mentor, and build a high-functioning team across multiple locations.
  • Excellent communication skills, balancing clinical oversight with empathy and strong leadership.
  • Strong organizational skills to manage referrals, admissions, and reporting efficiently.
  • A passion for delivering clear, timely, and respectful support to every patient and referrer.
