Project Support Specialist

We are seeking a highly skilled and proactive individual to join our team as a Project Support Specialist.

The successful candidate will play a critical role in supporting the delivery of complex high-profile projects through high-level administrative and operational assistance.

  • Scheduling and coordination of project activities to ensure timely delivery.
  • Maintaining and updating project documentation, including plans, reports, and registers.
  • Liaising with internal and external stakeholders to facilitate smooth communication and project progress.
  • Providing administrative assistance to project managers, including meeting scheduling, minute-taking, and correspondence management.
  • Monitoring project risks and issues, assisting in the implementation of mitigation strategies.
  • Supporting the monitoring of project budgets, expenditures, and financial reporting.
  • Ensuring adherence to relevant policies, procedures, and regulatory requirements.
  • Assisting with procurement, inventory management, and logistics for project-related activities.
  • Contributing to process improvement initiatives to enhance project delivery.

This is a full-time, permanent position based primarily in Canberra.

The successful candidate must be willing to upgrade their AGSVA NV1 security clearance to NV2.

You will work alongside multidisciplinary project teams and key stakeholders, ensuring the seamless execution of project activities in accordance with Defence standards, frameworks, and tight timelines.

Your day-to-day responsibilities will span scheduling, coordination, stakeholder liaison, and documentation support—requiring a proactive, detail-focused approach.

You'll be instrumental in supporting compliance, tracking project progress, and ensuring smooth communication flows across teams and partners.
