The Senior Executive Assistant will deliver exceptional support to the Managing Director and a dedicated team, facilitating optimal sales performance and superior client service. This role requires regular interaction with various stakeholders across all levels of the organization and external partners.
The ideal candidate will demonstrate sound judgement, uphold confidentiality, and efficiently handle multiple responsibilities amidst changing priorities.
This position will initially be offered as a contract for 6 months, with the potential for the successful candidate to transition into a permanent role.
This opportunity is ideal for seasoned Personal Assistants, Team Assistants, Executive Assistants, or Desk Assistants with over 3 years of relevant experience in Asset Management, Investment Banking, or Wealth Management.
Key Responsibilities:
- Manage complex scheduling, including the arrangement of internal and external meetings, calls, and video conferences.
- Oversee team calendars and maintain contact lists.
- Prioritize telephone communications, ensuring accurate and timely message delivery.
- Coordinate travel arrangements, including flights and accommodations, while being aware of team members' schedules and travel policies.
- Prepare and submit monthly expense reports for the team.
- Manage courier services and incoming/outgoing mail.
- Provide general administrative support, including document preparation and ad hoc project assistance.
- Organize client entertainment events, such as lunches and dinners.
- Coordinate client events and functions.
- Proactively develop support materials for meetings and ensure timely follow-up.
- Assist with Investment Roadshows and Boardroom Briefings.
Qualifications:
- A minimum of 3 years' experience in a support role, such as PA, EA, or Team Assistant, preferably within a financial services context.
- A Bachelor’s degree in Commerce or a related discipline with outstanding academic performance.
- Proven ability to cultivate strong, lasting relationships.
- Exceptional communication skills, both written and verbal.
