This role presents an exceptional opportunity to leverage your expertise in executive support, particularly in board and committee coordination.

We are seeking a highly organized and detail-oriented individual to join our team as a Strategic Support Officer. The successful candidate will be responsible for providing high-level administrative support to our Boards and Committees, ensuring seamless execution of all activities.

The ideal candidate will possess a solid foundation in executive support, with experience in handling a wide range of tasks, including managing invites, action items, and agendas. Your proficiency in board management software and document execution tools is essential.

Key responsibilities include:

  • Company Secretarial Support
    • Manage Board and Committee invites, action items, and forward planners.
    • Draft agendas, minutes templates, and reports for Board and Committee meetings.
    • Coordinating and distributing Board and Committee packs using Diligent.
    • Complete post-meeting tasks, such as updating registers and records.
  • Meeting Logistics
    • Assist the Board Executive Liaison with scheduling and organizing meetings.
    • Provide day-of support to ensure all meeting logistics are in place.
    • Coordinate travel, calendar bookings, and accommodation for Board members.
    • Process expenses and handle credit card reconciliations promptly.
  • Administrative Support
    • Manage diaries, including scheduling for the Head of Company Secretariat.
    • Coordinate Director and Committee Advisor inductions and training sessions.
    • Maintain statutory records and submit ASIC lodgments.
    • E nsure up-to-date content on the website and intranet for the Company Secretariat.
  • Compliance and Documentation
    • Assist with Fit and Proper Assessments and maintain related records.
    • Facilitate document execution processes (e.g., via DocuSign).
    • Respond promptly to auditor, regulatory, and other information requests.
    • Maintain and update procedures, checklists, and registers.

In return for your expertise, we offer a competitive salary package of approximately AU$90,000 - AU$110,000 per annum, commensurate with experience and qualifications.
