Job Overview

We are seeking a highly organized and proactive Facilities Coordinator to join our team. As the primary point of contact for maintenance and facilities requests, you will be responsible for ensuring seamless operations and exceptional results.

  • Act as the first point of contact for maintenance and facilities requests, providing timely and effective solutions.
  • Manage and maintain computerized maintenance management systems (CMMS) for preventative and reactive work orders, ensuring accuracy and efficiency.
  • Support the Facilities Manager with daily administrative and operational tasks, contributing to a productive and collaborative environment.
  • Conduct regular inspections and contribute to compliance reporting, maintaining high standards of quality and safety.
  • Liaise with subcontractors, vendors, and site stakeholders to ensure smooth operations and excellent client relationships.
  • Assist with client meetings, reporting, and minute-taking, demonstrating excellent communication and interpersonal skills.

Requirements

  • Previous experience in facilities coordination, administration, or a related field is essential.
  • Competent with Microsoft Office applications, including Excel, Outlook, and Teams.
  • Strong organizational skills with attention to detail and process, ensuring efficient workflows and accurate records.
  • Excellent customer service and communication skills, building strong relationships with clients and stakeholders.
  • Able to work well within a small team and build strong working relationships, promoting a positive and supportive environment.
  • Experience in correctional, government, or high-security environments is desirable.
  • Knowledge of CMMS systems is required.
  • Trade background or facilities management qualifications are an advantage.
