About the Role
We are seeking an experienced Facilities Management Specialist to join our team at Pennant Hills. This permanent, full-time role will be responsible for managing various property projects from planning to implementation stages, including repairs and maintenance and compliance.
The ideal candidate will have a strong background in facilities management, with experience in project delivery, stakeholder engagement, and risk management. They will possess excellent communication and interpersonal skills, with the ability to work collaboratively with school leaders, local councils, and other stakeholders.
Key Responsibilities
- Plan and manage the implementation of minor capital works safely, efficiently, and within budget;
- Apply best practice principles to project management, ensuring compliance with relevant codes and legislation;
- Respond to and follow up on all stakeholder queries, requests for maintenance, and status of approved works in a timely manner;
- Undertake school site visits to scope school needs, ensure the Principal is supported in managing property projects, and external party requirements are met;
- Provide accurate reporting and documentation to meet deadlines pertaining to facilities work and longer-term projects;
- Manage stakeholder engagement, expectations, and communication with local councils and authorities, schools, and local communities to develop and maintain collaborative and productive relationships;
- Ensure the credentials of contractors are registered and secure references;
- Provide technical construction and project management advice to colleagues and prepare documentation to support potential works;
- Work collaboratively with peers in the Facilities and Procurement team to continuously improve design standards to meet ongoing CSBB operational needs;
- Provide advice as required and support preparatory work relating to NSW Catholic Block Grant Authority (CBGA) submissions;
- Assist in developing strategies to continually improve CSBB and schools' shared responsibilities to ensure school facilities are maintained to be safe and optimal learning and teaching environments adequate for the courses of study and student cohort numbers;
- Work within the team to ensure smooth transition of new assets for ongoing maintenance in accordance with relevant legislation and maintenance planning;
- As required, work on-site at schools to support Principals in managing property projects.
Required Skills and Qualifications
- Tertiary qualifications in Project Management or related discipline and demonstrated professional experience in facilities management;
- Valid WWCC (or willingness to obtain);
- Holds a NSW WorkCover White Card;
- Understanding of WHS legislation and regulations;
- Current NSW driver's licence and own car required for travel across the geographic span of the Diocese;
- Demonstrated ability to engage and liaise with professionals working with building disciplines;
- Experience in working in the construction, property management, or property maintenance environment with a focus on delivering projects;
- Demonstrated planning, organisational, and project management skills with the ability to manage multiple and concurrent projects/tasks;
- Outstanding skills in stakeholder engagement and management;
- Strong governance and reporting experience;
- Demonstrated management of risk to deliver projects on time, within budget, within scope, and with high-quality outcomes;
- Genuine passion for working with customers in mind to serve their needs and requirements;
- Maintains a degree of independence to develop a suitable approach in managing workload;
- Familiarity with legislation, guidelines, and organisational policies and procedures in all relevant areas of work;
- Keen eye for detail to deliver consistently accurate and informed written and verbal communications suitable for the receiving audience;
- Adaptable and responsive to change and can adapt to working under pressure and re-prioritising tasks;
- Manages competing priorities and sensitivities of others to deliver high-quality work.
