Contract Administrator Role Overview

We're seeking an experienced Contract Administrator to join our team and manage the full contract lifecycle from award to final close-out. This is a key role that will involve preparing, reviewing and processing payment claims and variations for clients, subcontractors and suppliers.

Key Responsibilities:
  • Manage the full contract lifecycle, including preparation, review and processing of payment claims and variations
  • Oversee the full payment lifecycle, including high-value and complex claims, ensuring compliance with relevant legislative frameworks
  • Develop and maintain claim templates, FAQs and training documentation for consistent, high-quality commercial execution
  • Lead training and onboarding for new contract team members, including delivery of handover tools and ongoing mentoring
  • Review and verify claim accuracy, supporting documentation and contract alignment
  • Manage end-to-end PO lifecycle, including forecasting, accruals, reconciliations and reporting dashboards
  • Track commercial KPIs like DSO, aging claims, variation closure and margin impact - using tools like Power BI, IFS or Excel
  • Chair internal stakeholder meetings and drive commercial visibility and accountability across projects
Requirements:
  • Contract admin experience in construction, mining or oil & gas
  • Strong understanding of construction contracts, payment schedules, change orders and variations
  • Experience with SOPA compliance (QLD preferred) and a solid grasp of legal obligations under Australian commercial law
  • Confident in end-to-end claim preparation, dispute resolution, root-cause analysis and commercial negotiation
  • Proficiency in IFS, Procore, Aconex, SharePoint or similar ERP/contract management systems
  • Advanced Excel or Power BI skills - pivot tables, dashboards, KPI tracking
  • Ability to align payment claims with project progress, milestone tracking and contract deliverables
  • Strong commercial judgement, stakeholder management and ability to present complex contract positions to both internal and external senior stakeholders
  • Demonstrated experience mentoring and developing junior contract team members and driving a culture of continuous improvement
  • Skilled in drafting and interpreting formal contractual correspondence, amendments and client-facing documents
