Key Responsibilities

This is an Office Manager & Team Assistant position within a vibrant team where you will support your colleagues and ensure day-to-day operations run smoothly. Working alongside other Executive Assistants, you will be responsible for:

  • Office Operations
  • Maintain office facilities and functionality, coordinate with facility managers as needed
  • Serve as primary point of contact for all employees regarding facility-related issues and concerns
  • Coordinate the onboarding process for new team members
  • Coordinate meeting attendees and facilities
  • Organise travel arrangements, including flights, accommodation, car transfers, visas, and other necessary documentation
  • First point of contact for visitors when they arrive at the office
  • Receive and sort mail packages and send mail and shipments
  • Supervise the maintenance and inventory of office equipment
  • Coordinate the expansion, reduction, or modification of office space
  • Monitor and order office supplies
  • Distribute relevant information to internal stakeholders

Additionally, you will:

  • Support Administrative Tasks
  • Prepare and distribute agendas, reports, action items, and documents for meetings
  • Manage expenses for the team
  • Assist with corporate and project-level expense management and payments processing
  • Perform general administrative duties as required

Candidates should possess:

  • Five or more years' experience in a similar office management/administrative support role
  • Able to maintain a positive culture and employee experience
  • Exceptional communication and interpersonal skills
  • Ability to work effectively within a team
  • Highly organised
  • Strong client-oriented approach
  • Intermediate/advanced software knowledge, particularly with Microsoft Suite
