Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in Sydney.
The ideal candidate will have proven experience as an administrative assistant, strong interpersonal capabilities, and good verbal and written communication skills. They will also possess maturity in managing relationships and challenging situations, as well as the ability to work with limited direction from senior professionals.
Responsibilities:
- Scheduling and arranging meetings with internal and external stakeholders
- Providing general support to visitors and reception duties
- Arranging business trips, including booking flights, accommodation, and coordinating travel itineraries
- Undertaking administrative tasks such as claims administration, office supplies management, courier services, and document filing/printing/scanning
- Providing basic IT support and system access administration
- Organizing team and departmental social events
- Supporting investment managers and middle office teams on administrative matters related to investments
Requirements:
- Ability to use standard Microsoft tools
- Proven experience as an administrative assistant
- Strong interpersonal capabilities and good verbal and written communication skills
- Maturity in managing relationships and challenging situations
- Organized, detail-oriented, and effective time management abilities
- Good problem-solving skills and strong organizational skills with the ability to multitask
- Proactive, flexible, and willing to learn and grow beyond the job description
