
Administrative Operations Manager

We are seeking an experienced medical administration professional to lead our internal administrative services and patient experiences.
Key Responsibilities- Lead a team to deliver effective internal administrative services and professional patient experiences, ensuring seamless workflow and high-quality patient care.
- Streamline administrative processes, develop new procedures, checklists, templates, and forms to enhance efficiency and productivity.
- Assist with recruitment, selection, and onboarding of team members, developing and delivering role-based induction training programs.
- Plan, publish, and coordinate changes to rosters and backfill roles as required, ensuring minimal disruption to services.
- Oversee team administrative activities, provide support, and resolve issues in a timely manner.
- Coach and develop the skills, knowledge, and abilities of team members, fostering growth and development within the organization.
- Act as an administrative liaison for doctors, practitioners, and midwives, providing expert guidance and support.
- Update settings and maintain administrative IT systems, ensuring data security and integrity.
- Provide administrative reporting and recommendations, driving business decisions and strategy.
- 3 years + supervisory experience in General Practice, Allied Health, or Specialist Medical Practice, with a proven track record of success.
- Experience streamlining workflows/developing procedures, checklists, and forms, with a focus on process improvement.
- Solid understanding of medical protocols, practices, and terminology, including Medicare/Private fund billing & claims processes, and item numbers.
- Excellent knowledge of patient experience principles, practices, and techniques, with a focus on delivering exceptional patient care.
- Knowledge of employment/WHS&W legislation, with a commitment to compliance and best practice.
- Experience booking patients and rostering accordingly, with attention to detail and a customer-centric approach.
- An excellent command of English language and grammar (verbal and written), with strong communication and interpersonal skills.
- Proficiency in Microsoft applications, and Flow-charter (or similar), with a willingness to learn and adapt.
- Experience using medical software (Clinic to Cloud is preferred), with a focus on data management and security.
- Certificate IV in Business Administration, Health Administration, or Management, with a focus on leadership and strategic planning.
- Certificate IV in Training and Assessment or the Workplace Trainer Skill Set, with a commitment to education and development.
- Department of Human Services Working with Children Check, National Police Check, and First Aid Officer (+CPR) certification, with a focus on safety and risk management.
- A willingness to undertake a Pre-Employment Medical, with a focus on employee health and well-being.
- Permanent work rights to live and work in Australia, with a commitment to ongoing compliance and registration.
