Your Key Responsibilities:

  • Greeting and Welcoming Visitors: Greet internal and external visitors, making them feel welcome and attending to their needs.
  • Meeting Room Management: Manage multiple meeting room calendars, collaborating with people across all offices with a solution-focused mindset.
  • Administrative Support: Maintain the cleanliness of the kitchen, reception, and meeting rooms, answer and direct telephone calls for the entire business, and perform various administrative tasks.
  • Travel and Logistics: Book travel, accommodation, pool cars, and catering as required.
  • Supply Management: Order and maintain stock of stationery, business cards, and office supplies.
  • Mail and Courier Management: Collect and distribute all incoming mail and coordinate outgoing mail and courier bookings.
  • Support to Senior Management: Work closely with the Executive Assistants to coordinate and run personal errands and complete ad-hoc administration tasks for Senior Management.
  • Document Management: Support the Project teams with archiving and other document management tasks.

Requirements:

  • Technical Skills: Show a high-level working knowledge of MS Office and Teams.
  • Experience: Have proven experience in a similar role.
  • Teamwork: Be able to work effectively within a team consistently.
  • Communication Skills: Possess strong communication skills with an ability to build relationships at all levels of the business.
