Job Overview

We are seeking an experienced Project Coordinator to oversee regional programs and serve as the primary point of contact for clients.

Main Responsibilities
  • Coordinate regional programs using established project management processes, ensuring timely delivery of services.
  • Provide on-site support at Sydney location while delivering remote coordination for Adelaide site, ensuring consistent service standards.
  • Foster positive relationships with clients, contractors, and suppliers, managing satisfaction levels and preparing regular reports.
  • Conduct daily site inspections, coordinate subcontracted services per maintenance plans, maintain computerized systems, and oversee third-party service delivery.
  • Ensure site financial operations meet targets, manage purchase orders, track spending against budgets, and perform forecasting.
  • Take ownership of all IFM projects, perform capital planning, complete forecasting processes, and ensure timely project completion.
  • Implement operational risk management programs, maintain disaster recovery plans, and coordinate health, safety, security, and emergency procedures.
  • Manage vendor relationships, maintain compliance records, negotiate service level agreements, conduct performance reviews, and ensure timely service delivery.
  • Evaluate operations for alignment with client priorities, implement best practices, maintain computerized systems, and support sustainability initiatives.
Requirements
  • Formal tertiary qualifications in Management, Business, Operations/Project Management, Building/Facilities Management, or related discipline.
  • Minimum five years of related experience.
  • PgMP certification preferred.
  • Knowledge of building services and general building maintenance.
  • Proficiency in Microsoft Office applications.
  • Experience in multi-tasking various duties.
  • Strong communication and presentation skills.
