Senior Administrative Coordinator

About the Role:
This is a senior administrative role that provides high-level support to the Chief Financial Officer (CFO) and other members of the finance team. The ideal candidate will have strong organizational and time management skills, excellent communication and interpersonal skills, and the ability to maintain confidentiality and handle sensitive information.Key Responsibilities:
  • Serve as a vital support system for the CFO and other members of the finance team, handling administrative duties to enable them to focus on high-level decision making.
  • Manage the CFO's diary, scheduling meetings and coordinating with internal and external stakeholders such as clients, suppliers, and key partners.
  • Arrange travel and accommodations for the CFO and leadership team, ensuring seamless logistics.
  • Screen and manage emails and correspondence, drafting responses at an executive level when necessary.
  • Review and process the CFO's expenses, verifying accuracy and compliance with company policies.
  • Assist in preparing and reviewing policy changes, such as Travel & Expense and Volunteer Leave policies.
  • Support the CFO in executing legal documents, including contracts and board signoffs.
  • Prepare presentations and relevant materials for meetings, guaranteeing timely availability.
  • Oversee the onboarding process for new finance team members.
  • Facilitate communication and collaboration between the finance leadership team, the CFO, and external departments.
  • Plan and execute finance team events, selecting venues and coordinating travel.
  • Assist with ad hoc administrative tasks and manage projects to improve workflow within the finance department.
  • Identify bottlenecks in processes and help streamline tasks.
  • Coordinate and assist in planning internal events with the social committee.
  • Manage LGT Crestone's employee volunteering program, overseeing and promoting opportunities and events.
Requirements:

  • Familiarity with finance operations and procedures.
