About the Job
The Student Services Officer is a pivotal role that involves providing exceptional administrative and operational support to various stakeholders within our institution.
Main Responsibilities:
- Manage diaries of academic and support staff, including scheduling student appointments.
- Assist with facilities management as needed.
- Oversee timetabling, invigilation, quality control, and examination conduct.
- Conduct system testing before enrolment periods.
- Maintain accurate student records and cleanse data for regulatory reporting purposes.
- Coordinate appointment and management processes for casual teaching staff.
- Support the coordination of university approval processes for teaching staff.
- Provide English Language Testing Centre support when required.
Student Progression and Records Management:
- Coordinate enrolment, re-enrolment, and associated activities.
- Process student progression, completion, and transition processing.
- Manage administration and reporting of student and graduate satisfaction surveys and course evaluations.
- Process results, changes to grades, exclusions, probation, awards, and merit scholarships.
- Handle requests for enrolment variations, deferral, withdrawal in accordance with policies.
- Maintain accuracy of Confirmation of Enrolments (CoEs).
- Cleanse data and perform associated regulatory reporting.
- Coordinate graduation ceremony planning.
Staff/Student Support:
- Process student requests for replacement documentation.
- Assist with ordering and supplying texts and recommended readings on booklists.
- Coordinate moderation and benchmarking processes across nominated programs with internal and external stakeholders.
- Support teaching staff with invigilation duties.
- Assist with annual course reviews, student, and course evaluation processes.
- Provide advice to students on programs, courses, academic policies, and procedures.
- Offer administrative and secretarial support to academic and student committees.
- Develop and maintain relationships with casual academic staff.
- Support College/Campus Orientation, Graduation, and student experience activities.
- Provide advice on College/Campus policies and procedures, program progression, transition to University, and other student-related issues.
- Undertake student monitoring duties, including retention and performance calls.
Qualifications and Selection Criteria:
- Demonstrated ability to meet deadlines and handle competing priorities.
- Excellent attention to detail, including proofreading and editing skills.
- Able to relate well to students and professionals.
- Ability to independently resolve routine problems and issues.
- Sense of responsibility and commitment to education.
- IT literacy and experience with systems like student information systems or customer relationship management systems.
- Excellent communication skills.
- Bachelor's degree or equivalent preferred.
- Work experience in higher education, preferably in a commercial setting.
