Job Overview

The Office Manager will play a pivotal role in the success of our organisation, ensuring seamless administrative operations and providing exceptional support to staff.


About the Role

This is a full-time mid-senior level Administrative position responsible for overseeing office services, coordinating administrative duties, and managing an administration team. Key responsibilities include:

  • Anticipating needs, opportunities, risks, and challenges to ensure ongoing operational success.
  • Organising and coordinating administrative duties, document management, filing systems, and workflow processes.
  • Responding to internal and external communications, delegating tasks as needed.
  • Contributing to scoping, development, implementation, and evaluation of key organisational projects.
  • Planning and reviewing office services, setting priorities, and maintaining high service delivery standards.
  • Overseeing allocation of staff, office space, and equipment to maximise efficiency.
  • Coordinating and monitoring staff rosters to ensure appropriate coverage.
  • Delegating tasks and tracking performance to support productivity and accountability.
  • Managing office records, documentation, and financial accounts accurately and securely.
  • Liaising with external professionals to coordinate activities and resolve issues.
  • Maintaining and replenishing office equipment and supplies.
  • Prioritising administrative workflows in line with organisational priorities.
  • Monitoring and enforcing compliance with occupational health and safety standards.
  • Ensuring adherence to government legislation, policies, and procedures in all office operations.
  • Coordinating HR-related functions, including recruitment, promotions, training, payroll, performance management, and supervision of staff.
  • Assisting the Finance team with monthly reconciliation.
  • Assisting department managers in formatting and producing relevant reports.
Key Qualifications and Skills

The ideal candidate will possess:

  • Extensive knowledge of administrative procedures and protocols.
  • Tertiary qualifications in business administration or equivalent.
  • Excellent knowledge and experience using computer applications, particularly MS Office.
  • Proven ability to implement organisational systems.
  • Well-developed written and oral communication skills.
  • Proven ability to manage an administration team.
  • Solid knowledge of manpower-based service business.
  • Ability to work within a QHSE framework and participate as a committee member to drive continuous improvement of the QHSE.
