Job Title: Community Engagement Coordinator

This is a full-time temporary role that will see you working closely with the Alumni Relations team. You will be responsible for coordinating events, managing RSVPs, event payments, and provision of receipts.

The ideal candidate will possess excellent organizational and communication skills, with the ability to work independently and as part of a team. They will also have a strong attention to detail and be able to multitask effectively.

Main Responsibilities:

  • Coordinate all elements of Alumni events, including invitation creation and distribution, event collateral and communications, RSVPs, event payments, provision of receipts, and setting up the event in Synergetic.
  • Assist in the planning and budgeting for events, including recording expenditure.
  • Provide high-level support to the Alumni Manager, OWCA Executive members, and sub-committees, Affiliate groups, working groups, and OWCA Interstate and International representatives.
  • Record expenditure and update event records.
  • Research and prepare constituencies, including the development and maintenance of a system engaging staff and former staff relating to the Alumni reunion program and potential engagement of former parents.
  • Prepare reports regarding Association activity and events at regular intervals for the business.
  • Coordinate guest lists in relation to OWCA events and provide VIP lists to other departments.
  • Prepare materials, including presentations, for reunions.
  • Conduct post-event activities and follow-up.
  • Assist with enquiries from Alumni.
  • Update Alumni details.
  • Assist with editorial elements of the College publication Lion magazine.
  • Prepare and approve Birth Notices for Lion magazine and coordinate Lion Toys.
  • Circulate details and update records in relation to the deaths of Alumni.
  • Coordinate purchases on behalf of the OWCA through either the College purchasing system or directly through the association as required.
  • Maintain and operate the online ticketing system with regard to OWCA event activity.
