Job Summary

We are seeking a highly experienced Project Lead to join our team at eFinancialCareers Ltd. The successful candidate will be responsible for leading and managing capital works projects, ensuring timely and within-budget delivery.

Key Responsibilities
  • Project Coordination: Assist the project team in managing, planning, and directing all aspects of the project to ensure delivery of outcomes as agreed upon by the project sponsor.
  • Support Role: Provide comprehensive support to the project team in delivering a major capital works project.
  • Reporting and Documentation: Create and manage development of project reports, including presentation packs, program schedules, finance forecast sheets, meeting minutes, risk register updates, stakeholder registers, and business requirements documents.
  • Working Group Management: Chair project working group meetings, develop agendas, manage meeting minutes, and follow up on action items.
  • Procurement Management: Collaborate with the project team to plan, manage, and execute project procurements.
  • Project Management Methodology: Apply a structured project management approach, adhering to internal frameworks, processes, and best practices to manage all aspects of the project effectively.
  • Risk and Issue Management: Identify and manage project risks and issues, develop mitigation plans, and implement them in a timely manner while measuring their effectiveness.
  • Progress Monitoring: Monitor project plans, identify variances early, and take corrective actions to minimize impact.
  • Task Organisation: Organize project tasks, assign responsibilities, and monitor progress to ensure timely completion.
  • Change Management: Assist the change manager in managing change throughout the project lifecycle, ensuring informed decision-making and the realization of benefits.
  • Communication and Stakeholder Engagement: Develop and implement communication plans to deliver timely and relevant information, ensuring clear messaging. Identify stakeholders, create engagement plans, and maintain necessary levels of engagement throughout the project.
  • Project Delivery: Ensure the project is completed within the agreed schedule, budget, resources, scope, quality, and benefits. Identify and resolve obstacles to project success.
  • Leadership and Expertise: Provide leadership in project management, promoting good practices and enhancing the organization's project and program management maturity.
Requirements
  • Prior Project Coordination Experience: Prior experience in project coordination in a capital works environment. Experience working on projects within cultural institutions would be an advantage.
  • Prior Experience with Managing Construction and Relocation Contractors: Prior experience with managing construction and relocation contractors.
  • Experience in Developing Business Requirements: Experience in developing business requirements and tracking their inclusion in the design and delivery stages.
  • Experience in Procurement Practices/Processes: Experience in procurement practices/processes and ability to contribute to the development of tender documents, evaluation of tender responses.
  • Ability to Develop Funding Requests: Ability to develop funding requests (business cases, seed funding/feasibility studies) that clearly articulate the outcomes and benefits desired by the project sponsor and other key stakeholders.
  • Proven Track Record: Proven track record of taking ownership of, accountability for, and commitment to the project.
  • Extensive Experience Building Trust and Confidence: Extensive experience building trust and confidence by engaging stakeholders at all levels proactively.
  • Demonstrated and Proven Capability: Demonstrated and proven capability in observing and reporting on discrepancies, trends, and interrelationships in project data.
  • Strong Understanding of Corporate and Industry Standards: Strong understanding of corporate and industry standards, project management tools, and techniques.
  • Ability to Evaluate Performance: Ability to evaluate performance according to contract and statement of work or service level agreement.
Qualifications
  • Tertiary Qualifications: Tertiary qualifications or relevant industry experience.
  • Desirable PRINCE2 Practitioner: Desirable PRINCE2 Practitioner preferred, PRINCE2 Foundation acceptable.
  • Desirable Professional Certification: Desirable professional certification of a widely used project management discipline.
