Role Overview

The Uniform Coordinator is crucial for ensuring all players receive their uniforms efficiently each season. This role can be held by one person or shared between two people, reporting to a team leader.

Key Responsibilities
  • Manage uniform sales and distribution for multiple seasons per year.
  • Organise and run uniform shops annually: at the start of each season, awards ceremony shop, mid-season shop (if required).
  • Process online orders and arrange pickup from a designated location between uniform shop events.
  • Receive and fill orders from an order management system.
  • Verify player numbers in the club database to prevent conflicts.
  • Communicate with players regarding size selection and expected wait times.
  • Label and set aside completed orders for pickup.
  • Maintain organised stock either at home or in a designated storage facility.
Communication and Customer Service
  • Use a shared email address to respond to queries.
  • Inform players about size charts, order deadlines, and pickup instructions.
  • Manage expectations around wait times and provide updates on stock availability.
Cross-Functional Collaboration
  • Team leaders support the Uniform Coordinator by ordering and replenishing stock based on sales, creating pricing, conducting stocktakes, and updating inventory levels.
  • Work with other team members to schedule events and promote dates on social media.
Uniform Shop Operations
  • During uniform shop events, roles include the Uniform Coordinator, Team Leader, and Treasurer.
Online Order Process
  • Look up player details in the club database.
  • Find the uniform and label it.
  • Set the order aside in a designated pickup area.
  • Communicate pickup details with the player.
Payment and Order Systems
  • All orders must be processed through the order management system.
  • No cash payments – all payments must be made via phone tap or online credit card.
  • No trying on uniforms outside of shop events to maintain efficiency.
  • Order data is used to generate new orders from suppliers.
Required Skills and Qualifications
  • Strong organisational skills to manage orders and stock.
  • Good communication skills to liaise with players and team members.
  • Attention to detail to prevent uniform number clashes.
  • Ability to manage boundaries and reduce unnecessary player contact.
  • Teamwork and leadership skills to coordinate volunteers.
