Job Summary

The Area Administrative Assistant role provides general administrative support to an area, ensuring seamless coordination of workload and key issues. This FIFO role is based in Karratha, WA, and requires a 3:1 roster.

Key Responsibilities
  • Provide administrative support to the area, ensuring efficient coordination of tasks and projects.
  • Meet regularly with managers to discuss key issues and coordinate workload, ensuring alignment with company objectives.
  • Coordinate travel arrangements, prepare detailed itineraries, and assist team members with expense reports through Concur.
  • Schedule and reschedule appointments, providing detailed information to team members.
  • Organize office spaces for meetings, training, and employee events.
  • Create and organize presentations and materials for meetings.
  • Coordinate special activities and programs with manager input and approval.
Requirements
  • Minimum 4-6 years of related experience.
Desired Skills and Abilities
  • Intermediate to advanced skills in Microsoft Office Suites.
  • Working knowledge of Concur and Aconex or electronic document management systems.
  • Excellent oral and written communication skills.
  • Strong organizational skills, detail-oriented, and able to work independently.
  • Experience interfacing with executive management and customers.
  • Able to handle highly confidential information.
Additional Information

This role involves working in a dynamic construction environment, with exposure to changing conditions, including walking, climbing, and working at heights. The candidate must be able to use standard-issued Personal Protection Equipment (PPE) and adhere to site safety protocols.

The Pluto Train 2 Project is a Major Hazard Facility, and this is a non-smoking site. No tobacco products are permitted on site.

This position is available to both local and non-local personnel, with a 3/1 FIFO roster for non-locals.
