
Temporary Administrative Professional

We are seeking a highly organised and detail-oriented professional to oversee our customer database and provide day-to-day operational support.
As an integral part of our team, you will play a pivotal role in maintaining the customer database using Excel and ensuring the efficient functioning of our office operations.
Key Responsibilities:
- Maintaining accurate and up-to-date records within our customer database
- Resolving customer queries related to payments and financial transactions
- Sending regular payment reminders to customers to ensure timely payment
- Managing council payments, insurance, land taxes, and other financial obligations on behalf of the organisation
- Organising these payments into plans and maintaining a detailed record of transactions
Additional Duties:
- Managing executive calendars, scheduling appointments, and coordinating meetings with internal stakeholders
- Assisting with travel arrangements, including booking flights, accommodations, and transportation for executives and staff members
- Preparing and reviewing correspondence, reports, and presentations on behalf of the organisation
- Maintaining accurate and up-to-date records and files, both electronically and physically
- Ordering and overseeing office supplies to ensure availability and maintain a well-organised workspace
- Coordinating office events, meetings, and conferences as required by management
- Providing administrative support to the team with various tasks as needed
Requirements:
- Proficiency in MS Office Suite, particularly Excel, with advanced Excel skills preferred
- Demonstrated experience in an administrative role or similar position within a fast-paced environment
- Exceptional organisational and time management capabilities to prioritise multiple tasks effectively
- Keen attention to detail and precision when handling sensitive information and data
- Outstanding written and verbal communication skills to engage with customers and internal stakeholders
- Ability to manage multiple priorities and deadlines in a dynamic work environment
- Professional and courteous manner, with a focus on delivering exceptional customer service
- Discretion when handling confidential information and maintaining confidentiality agreements
- Completion of high school or equivalent education; additional certifications or qualifications advantageous
This is a temporary 3-month contract opportunity available from November to January.
