
Administrative Services Coordinator

- Establish and manage the document management system and contractual correspondence system.
- Receive, review, and distribute project documentation according to company standards.
- Ensure proper version control and document tracking.
- Ensure compliance with document management policies and procedures.
- Manage documentation for archiving/handover to operations team.
- Expedite the document review process.
- Train staff and contractors on document control procedures and systems.
- Submit timely reports and prepare presentations as required.
- High school certificate or equivalent experience in business or administration.
- Proven experience in document control in a fast-paced environment.
- Establishing document management systems for use by internal and external parties.
- Experience with document management systems on large industrial projects with multiple contractors.
- Proficient with Microsoft Office software.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and manage multiple tasks.
- Experienced with Aconex on large industrial projects preferred.
- Ability to work collaboratively within and across business units.
- Strong interpersonal skills with ability to engage and negotiate with stakeholders at different levels.
- Ability to maintain confidentiality and handle sensitive information.
- Strong time management and prioritization skills.
