Project Support Specialist Role

The Project Support Officer plays a pivotal role in the administration and coordination of projects within a Corporate Technology team. This key position provides project support to the project management team by ensuring projects align with the defined project governance model and lifecycle framework, delivering high-quality outcomes for the business.

Key Responsibilities:
  • Project Coordination:
    • Support diverse technology projects by providing administrative assistance to the project management team members, ensuring timely delivery of results.
    • Provide efficient project support including record management processes, content creation, task coordination, and financial management.
    • Delivery support for project team members by offering PMO services expertise, ensuring optimized business cases are delivered on time, to quality expectations, and within budget.
    • Ensure project team members adhere to the agreed governance and lifecycle framework, continually improving processes as required.
    • Implement effective project close-out activities, ensuring smooth handovers to operational teams and facilitating post-project requirements in a timely manner.
  • Stakeholder Engagement:
    • Liaise with internal and external clients to achieve project objectives, handling sensitive information appropriately.
    • Support stakeholder management through effective collaboration with internal and external stakeholders.
  • Framework & Governance Requirements:
    • Prepare monthly reports and coordinate governance forums, covering project status, actions, decisions, financials, benefits, risks, and issues across multiple concurrent projects.
    • Develop document management discipline and hygiene in support of PMO governance frameworks and routines.
    • Provide assurance support across programs, ensuring performance and products align with defined standards and policies.
    • Regularly conduct Health Checks to measure performance and identify areas for improvement.
  • Key Performance Indicators:
    • Deliver reporting requirements in a timely manner to facilitate informed decision-making by the Corporate Technology leadership team.
    • Proactively manage resource allocation across the project portfolio, resolving conflicts effectively without compromising schedules.
    • Ensure operational excellence across the project portfolio through optimized project lifecycle framework implementation, achieving on-time, within-budget, and scope-compliant outcomes.
    Required Skills & Qualifications:
    • 5+ years of experience in project support environments or similar roles, focusing on governance and project lifecycle frameworks.
    • Demonstrated project support skills, particularly in-depth knowledge of project management principles and techniques for technology projects.
    • Exceptional interpersonal, communication, consultation, and negotiation skills for building productive relationships and partnerships across all levels.
    • Desirable: Industry qualifications in Project Management Methodology (PRINCE2/PMBOK) and advanced Microsoft Office skills.
    • Ability to work autonomously and collaboratively in a team environment.
    • Proven influencing skills across diverse stakeholder groups to achieve timely and cost-effective outcomes.
    • Experience working with multiple stakeholders, both internal and external, is desirable.
