Job Summary

We are seeking an experienced Customer Service Officer to join our team at Programmed, a leading provider of recruitment services. As a key member of our customer service team, you will be responsible for delivering exceptional customer experiences and ensuring the highest level of service to our clients.

Key Responsibilities

  • Process sales orders for customers, repeat and new orders, ensuring accuracy and efficiency.
  • Amend sales orders and product specifications as required, maintaining a high level of customer satisfaction.
  • Manage customer order and delivery protocols, ensuring timely and professional communication.
  • Ensure all order quantities outside agreed standard order quantities are captured, maintaining a high level of attention to detail.
  • Expedite sample requests to agreed delivery dates, prioritizing customer needs.
  • Identify opportunities for gains in efficiency of the process by constantly reviewing systems, implementing improvements.
  • Actively manage customers in line with relevant service agreement, building strong relationships.
  • Service walk-in customers, providing exceptional face-to-face service.
  • Actively work together with customer service team to service 'house accounts', ensuring seamless service delivery.
  • Answering phone and dealing with customer queries, providing timely and professional responses.
  • Respond to all customer order delivery dates in a timely and professional manner, maintaining a high level of customer satisfaction.
  • Maintain relationships with customers, ensuring long-term loyalty and retention.
  • Process customer account application, ensuring accurate and efficient processing.
  • Maintain relationships with internal stakeholders, ensuring effective communication and collaboration.
  • Update and maintain spreadsheets (customer back-order/forward orders), ensuring accurate and up-to-date records.
  • Maintain customer records, ensuring accurate and secure storage.
  • General filing, maintaining a high level of organization and attention to detail.
  • Attend and participate in regular team meetings, contributing to team discussions and decision-making.

Requirements

  • At least 1 year experience in a fast-paced customer service environment, with a proven track record of delivering exceptional customer experiences.
  • Intermediate to advanced knowledge of Microsoft Office, with proficiency in using SAP or similar ERP system.
  • Customer focused, with a strong ability to build and maintain relationships with customers.
  • Team player attitude, with a strong ability to work collaboratively with colleagues.
  • Strong time management skills, including ability to deal with competing priorities.
  • Meticulous and organized, with a high level of attention to detail.
  • Excellent communications skills, both written and verbal, with a strong ability to communicate effectively with customers and colleagues.
  • Must be an Australian Resident or Citizen and have full working rights.
