Executive Assistant

As an Executive Assistant in our Diversified and Specialist Industries team, you'll play a key role in helping to manage relationships effectively and efficiently. You'll be responsible for proactively managing the time of the General Manager and direct team, anticipating their needs, and building strong relationships with key stakeholders within ANZ and external customers.

Key Responsibilities- Manage the efficient running and operation of all aspects for the General Manager, including mailbox, calendar, travel schedule, and associated logistics.
- Proactively manage and prioritize the General Manager's time in relation to business needs, ensuring all key meetings are set within appropriate timeframes and required briefing materials are available in advance.
- Screen telephone calls, field enquiries, proactively manage requests, and escalate urgent matters; resolve administration issues by identifying solutions.
- Manage all costs and expenditure in line with internal ANZ policies and compliance practices.
- Invoice processing and corporate card expense management, including monitoring of direct reports' expenses to ensure adherence to ANZ policies and compliance timeframes, as required.
- Manage all necessary HR processes to ensure accurate position and people data, employee changes, recruitment, exits, etc.
- Maintain accurate records for the General Manager as required.
- Produce general correspondence, presentations, reports, etc. of a confidential nature on behalf of executives; provide central coordination of administrative matters and identify opportunities to improve effectiveness.
- Exercise discretion and confidentiality on behalf of the General Manager's office.
- Central liaison point for communication between executives and direct reports, ensuring harmonization and consistency of information.
- Develop engaging and productive relationships with all internal and external stakeholders, displaying the highest level of professionalism.
- Excellent administrative and organizational skills.
- Experience in providing support at senior levels of an organization.
- Some experience managing small projects, initiatives, or events.
- Curiosity and a willingness to constantly test and revise your own thinking.
- Experience in diary management.
- Able to manage priorities and conflicting issues in a professional manner.
- Proven ability to build strong, open, and collaborative working relationships.
- Demonstrated ability to use initiative.
- Proactive by taking action and addressing issues relentlessly.
- Ability to have an understanding of technology frameworks and operations.
- Having an understanding of portfolio management is an advantage.
