Job Title: Executive Support Specialist
About the Role- Administrative Services: Provide a range of secretarial and administrative services, including coordinating meetings, preparing minutes/papers/briefings, and managing workflow, travel, and meeting management. This involves maintaining confidentiality and discretion in handling sensitive information.
- Caretaking/Housekeeping: Perform caretaking/housekeeping functions, including daily refresh of kitchens and general housekeeping duties to maintain a clean and organized workspace.
- Communication: Communicate effectively with all relevant stakeholders to resolve enquiries and ensure the provision of accurate information, timely and effective resolution of matters. Excellent communication skills - verbal and written are essential.
- Confidentiality: Adhere to organizational standards for confidential information handling, ensuring that sensitive information is protected at all times.
- Chauffeur Service: Provide back-up chauffeur service to the executive team as required.
- Experience: 2-5 years' experience in an administrative role, ideally with executive support/board minute-taking experience, requiring strong organizational skills and attention to detail.
- Attention to Detail: Ability to manage competing tasks with high attention to detail and meet deadlines in a fast-paced environment.
- Communication Skills: Excellent communication skills - verbal and written, with the ability to communicate effectively with all levels of staff and external stakeholders.
- Computer Skills: Intermediate computer skills, including proficiency in Microsoft Office Suite and other software applications.
- Driver's License: Valid Driver's license - comfortable driving and navigating through busy roads.
- Food Preparation: Experience in food preparation and handling or willingness to obtain Food Safety Certificate. This may involve cooking meals for executives and staff.
- First Aid: Certificate in First Aid or willingness to obtain First Aid Certificate, demonstrating a commitment to workplace safety and well-being.
- Fire Warden: Experience as a Fire Warden or willingness to undertake Fire Warden Training, showing a proactive approach to risk management.
