Document Management Specialist

We are seeking an experienced Document Management Specialist to join our team. In this role, you will be responsible for the maintenance and administration of our selected document control management system.

Key Responsibilities:

  • Maintain and administer the selected Document Control Management System.
  • Responsible for retention, filing, and retrieval of all project documentations.
  • Responsible for timely transmission, issuance, and distribution of documents to internal and external parties.
  • Format, collate, and perform compliance and non-technical quality checks on all documents prior to internal use and issuing to external parties.
  • Manage control of all revision of drawings, documents, specifications, and general correspondences.
  • Obtaining relevant approval for issue to projects (internal and external).
  • Maintaining project-related registers (including but not limited to drawings, reports, and RFI's).
  • Prepare project reports for Project Managers as required.
  • Provide additional quality management and project administration support to Project Managers and Leads as required.

Requirements:

  • At least 10-15 years previous experience in a similar position, ideally within a pharmaceutical company, engineering consultancy, or the construction industry.
  • Intermediate to advanced skills in MS Office packages.
  • Proven experience working with Document Management systems such as Aconex, Projectwise, Sharepoint, Teambinder & Commnia.
  • Demonstrated ability to deliver quality work with a high level of accuracy under minimum supervision and work autonomously within a team environment to ensure deadlines are met.
  • Self-starter, high level of efficiency, proactive nature, desire for learning, and respect for confidentiality, results-oriented with a strong attention to detail.
  • High level of interpersonal, oral, and written communication skills with the ability to interface, interact, and work with various project areas, Management team, and external parties at Project level.
  • Excellent skills in multi-tasking, prioritization, and time management within a demanding environment.
  • A preparedness to learn and adopt new work practices, systems, and procedures.
