The Role

We are seeking an experienced Administration Assistant to join our team at our Hallam Hub in Southern Melbourne. As an Administration Assistant, you will play a vital role in supporting our therapists and participants, ensuring seamless delivery of our services.

Key Responsibilities
  • Schedule therapy sessions using Skedulo, aligning with participant Therapy Plans or Habit Coach Action Plans.
  • Reschedule sessions as needed, ensuring practitioners and participants are aware of changes.
  • Onboard new participants, explaining our service delivery model and setting expectations.
  • Accurately record identified risks during over-the-phone risk assessments, prioritising participant and therapist safety.
  • Maintain accurate Service Agreements for participants.
  • Participate in weekly team meetings, sharing stories of impact and collaboration.
  • Work closely with the administration team to complete tasks efficiently.
  • Provide professional customer service, focusing on participant needs and satisfaction.

Requirements
  • Demonstrated experience with scheduling or rostering.
  • 2–3 years' experience in administration with a customer service and relationship building focus.
  • High skill level in managing client databases and practice administration systems, with experience in Sales Force advantageous.
  • Take personal responsibility for participant satisfaction and consistently meet or exceed customer needs and expectations.
  • Act with a sense of urgency, set clear priorities, and focus on task completion.
  • Attention to detail.
  • Positively contribute as a team member, ensuring the team achieves its objectives.
  • Approach problems with a 'can-do' attitude, enjoy challenges, and be change ready.
  • Experience working in the NDIS/Disability sector is desirable but not essential.
