Executive Officer

Summary:

The Paediatric Surgery Education and Training (SET) program requires a skilled Executive Officer to administer its activities effectively in Australia and Aotearoa New Zealand. As the SET Trainee coordinator, you will be responsible for ensuring compliance with relevant regulations, policies, procedures, and timelines.

Key Responsibilities:
  • Administrative Support: Provide executive level administrative support, including drafting reports and correspondence for the Committee Chair and Committee Members.
  • Committee Secretariat: Offer secretariat support to the Committee, including agenda preparation, minutes taking, and action lists management.
  • Trainee Management: Maintain accurate records of all SET Trainees' clinical and assessment requirements, monitoring their progress throughout.
  • Issue Identification and Assignment: Identify important issues for discussion and assign them for Committee review.
  • Advice and Guidance: Provide expert advice on policies and procedures to inform Committee decisions.
  • Record-Keeping and Reporting: Prepare and maintain records and correspondence in adherence to legal guidelines, ensuring accuracy, clarity, and compliance with regulations.
  • Data Analysis and Reporting: Accurately report data and information to various external and internal bodies.
  • Budget Management: Assist the Manager with annual budgeting and scheduling of activities.
  • Special Projects: Participate in special projects as required.
  • Financial Record-Keeping: Monitor and maintain financial records.
  • Web Content Management: Update web pages and content as necessary.
  • Meetings and Events Coordination: Assist with coordinating meetings and events.
  • Process Development: Contribute to the development of processes, initiatives, documents, policies, and regulations as needed.
  • Communication and Liaison: Act as a point of reference and communicate with current Paediatric Trainees.
  • Interdepartmental Liaison: Liaise with other RACS Specialty Training Board/Committees, Regional Offices, Specialty Organisations, and Government bodies.
  • Training and Guidance: Provide training, guidance, and support to other RACS Staff to facilitate effective team operation.
