Job Title: Conference & Events Coordinator

The primary function of a Conference and Events Coordinator is to provide exceptional service to guests and customers, ensuring their expectations are met and exceeded.

This role requires close collaboration with internal stakeholders from various hotel departments to plan and execute events professionally and efficiently.

Key Responsibilities:

  • Undertake daily administrative tasks including correspondence, filing, and preparation of quotes, general telephone inquiries, and post-event follow-up.
  • Assist in the coordination of conferences, dinners, weddings, accommodation, and private dining restaurant bookings as required.
  • Handle calls, book appointments, assist in lead generation, and enquiry follow-up.
  • Work closely with back-of-house teams to ensure events are coordinated appropriately and meet client expectations.
  • Ensure presence on site for special events as event coordinator or at the direction of senior management.
  • Conduct site inspections for clients and third-party suppliers as required for event coordination.
  • Appropriate maintenance of event management systems including sales activity, client information, tentative, and confirmed bookings.
  • Prepare regular reports as directed by the Conference Sales Manager or General Manager and ad-hoc reports where requested.
  • Be a Brand Ambassador for the hotel and demonstrate excellent customer service skills.
  • Attend all scheduled meetings and participate in training and development programs.
  • Conduct post-event follow-up and work closely with clients to secure future business.
  • Provide assistance and support to other departments and colleagues when needed.
