Job Summary

We are seeking an experienced event coordinator to manage alumni events and provide administrative support.

This is a full-time temporary role until October 2025, with the opportunity to contribute to the success of our Community Engagement team.

Main Responsibilities
  • Coordinate all aspects of alumni events, including invitation creation and distribution, event collateral, RSVPs, and event payments.
  • Assist in planning and budgeting for events, ensuring timely and efficient execution.
  • Provide high-level support to the Alumni Manager, OWCA Executive members, and sub-committees.
  • Record expenditure and update event records accurately and efficiently.
  • Research and prepare constituency engagement materials, including staff and former staff relations for the Alumni reunion program.
  • Prepare regular reports on Association activity and events for the business.
  • Coordinate guest lists for OWCA events and VIP lists for other departments.
  • Prepare materials, including presentations, for reunions.
  • Conduct post-event activities and follow-up.
  • Assist with Alumni inquiries and updating Alumni details.
  • Support editorial elements of the College and Alumni publication Lion magazine.
  • Coordinate purchases on behalf of the OWCA through the College purchasing system or directly as required.
  • Maintain and operate the online ticketing system for OWCA events.

The ideal candidate will have excellent organizational skills, attention to detail, and effective communication skills. They will be able to work independently and collaboratively as part of a team.
