Job Description

This role involves managing the front desk, handling customer inquiries, and providing administrative support to the on-site team. As a Reception & Administration Assistant, you will be the first point of contact for residents and visitors, ensuring they receive exceptional customer service.

Main Responsibilities
  • Manage Front Desk Operations: Maintain a clean and organized reception area, ensure communal spaces are well-presented, and manage parcel delivery.
  • Customer Service: Answer calls, direct inquiries, take messages, and respond to customers as needed.
  • Coordinate Events: Assist with event planning, collate customer feedback, and ensure a smooth experience for residents.
  • Administrative Tasks: Provide support with data entry, document preparation, file management, and other administrative duties.
  • Database Management: Capture front-line customer insights and update customer data.
  • Communication: Monitor communication channels, triage complaints, and allocate queries to the relevant team members.
Skills and Qualifications
  1. Administration Experience: 1-3 years of experience in an administrative role.
  2. Real Estate Experience: Previous experience in real estate or a similar transferable skill set from another reception or administration role.
  3. Multitasking: Ability to manage multiple tasks and enquiries efficiently.
  4. Problem-Solving: Ability to assess situations and solve non-routine problems.
  5. Attention to Detail: Great attention to detail and organizational skills.
  6. Time Management: Excellent time management and organisational skills.
  7. Microsoft Office Applications: Good skills in Microsoft Office applications.
  8. Learning Agility: Willingness to learn new systems and processes.
  9. Discretion: Discretion, diplomacy, and the ability to maintain confidentiality.
