
Administrative Operations Coordinator

Key Position Overview:
The Administration Officer plays a pivotal role in facilitating the effective functioning of freight activities, ensuring seamless collaboration with the Fleet Controller.
Responsibilities:
- Execute administrative duties and freight office tasks to support operational efficiency
- Assist in maintaining optimal DIFOT performance by coordinating schedules, reviewing consignments, and communicating with ports and supervisors
- Provide customer support through clear and timely communication, enhancing customer satisfaction
- Liaise with customers to resolve queries, provide updates, and ensure a positive service experience
- Collaborate closely with the Fleet Controller to ensure efficient freight operations
- Conduct thorough dock searches, reconcile freight discrepancies, and escalate issues as required
- Prepare and deliver accurate operational reports as necessary
- Monitor MDT compliance daily in collaboration with the Fleet Supervisor, escalating non-compliance issues where necessary
- Ensure adherence to company policies, procedures, and audit requirements
- Share important business information with branch employees in a timely manner
- Contribute to team training, quality management initiatives, and continuous process improvements
Requirements:
- Strong focus on customer service with excellent interpersonal and communication skills
- High level of computer literacy, including Microsoft Office (Word, Excel, Outlook)
- Strong work ethic with the ability to work independently or collaboratively in a fast-paced environment
- Ability to build and maintain strong internal and external relationships
- Proven time management and prioritisation skills
- Previous experience in freight, logistics, or administration highly regarded
