Asset Manager and Project Coordinator

Job Description

We are seeking a highly skilled and proactive professional to support the delivery of asset management and end-to-end project coordination. This role is ideal for a candidate with strong administration, financial management, and advanced Excel proficiency combined with hands-on experience in asset management and project delivery.

The Asset and Project Officer will collaborate with internal teams including Facilities, Finance, and Sustainability. Externally, they will liaise with client representatives, hospital stakeholders, and subcontractors.

The key responsibilities include:

  • Managing end-to-end delivery of minor works and damage repair projects
  • Coordinating defect solutions and Compensable Intervening Event works
  • Developing project documentation and liaising with stakeholders to minimise disruption

The Asset and Project Officer will conduct asset condition audits and maintain CMMS data accuracy, supporting lifecycle planning and proactive asset strategies. They will also act as site expert in Concept Evolution and related systems, optimising workflows and providing training and troubleshooting support.

The officer will ensure compliance with HSSE, infection control, and hospital protocols, reviewing subcontractor documentation and conducting safety audits. They will also support budgeting, invoicing, and cost recovery documentation, preparing quotes and change notices in line with FM contract obligations.

The Asset and Project Officer will lead procurement activities for minor and major capital works, preparing tender documentation and participating in evaluations. They will oversee subcontractor performance and audit for quality, safety, and cost effectiveness.

This role requires a strong background in administration, financial management, and advanced Excel proficiency combined with hands-on experience in asset management and project delivery. The successful candidate will have excellent stakeholder engagement and communication skills, experience with CMMS and asset management software, and proficiency in Microsoft Office Suite.

Key Qualifications and Experience

  • 4–5 years of experience in a Project Officer and/or Administrator role
  • Experience in PPP or healthcare infrastructure (Preferred)
  • Strong stakeholder engagement and communication skills
  • Experience with CMMS and asset management software (Preferred)
  • Proficient in Microsoft Office Suite (MS Project & Excel highly regarded)
