  • Weekly Timesheet Creation: Extracting data from Simpro software to ensure seamless invoicing processes.
  • End-of-Month Reports: Preparing comprehensive reports that provide valuable insights into our operations.
  • Client Invoicing: Processing client invoices and associated documents with precision and efficiency.
  • Project Log Maintenance: Ensuring accurate and up-to-date project records.
  • Daily Workflow Monitoring: Proactively communicating with account managers to optimize workflow and meet deadlines.
  • Scheduling: Coordinating works efficiently to meet client expectations.
  • Client Portal Management: Uploading completed documents to client portals in a timely manner.
  • Stakeholder Communication: Managing internal and external stakeholder interactions effectively.
  • Data Entry: Accurately capturing and processing data.
  • Telephony Support: Providing excellent telephone support services.
  • Support to Management: Offering assistance to management and team leaders as required.
  • Invoice Follow-up: Promptly following up on outstanding invoices and debtors.
  • Supplier Invoice Validation: Verifying and processing supplier invoices through Kofax software.
  • Purchase Order Creation: Efficiently generating purchase orders.
  • Job and Job Folder Creation: Setting up new jobs and job folders accurately.
  • E-document Filing: Maintaining organized electronic document storage.

To excel in this role, you will require:

  • Minimum 3+ Years of experience in an administrative or project coordination position.
  • Intermediate MS Office Skills: Proficiency in Microsoft Office applications is essential.
  • Excellent Communication: Strong verbal and written communication skills to effectively interact with stakeholders.
  • Software Experience: Familiarity with Simpro, Kofax, or Pronto would be highly regarded.
