
Bid and Estimating Specialist

About the Opportunity
- Coordinate bid processes from start to finish, ensuring effective collaboration with colleagues.
- Maintain project records in enterprise resource planning (ERP) systems, including setup, organisation and version control.
- Create and manage SharePoint folders, access and documentation for bids.
- Work with the team to coordinate tender programs, budgets and organisational charts.
- Manage bid communications, including requests for information (RFI's) and coordinate responses from colleagues.
- Schedule and organise tender review meetings and prepare supporting packs and presentations.
This role can be based in either Sydney or Brisbane. We're seeking a highly organised individual with a sharp eye for detail and strong Microsoft Office skills.
You'll bring:
- Previous experience in an administrative or coordination role ideally with exposure to bids, estimating or construction.
- Strong document management skills and experience with SharePoint or similar systems is advantageous.
- Excellent written and verbal communication skills.
- A collaborative, team-focused approach and willingness to learn the pre-contracts/bids process.

Key Responsibilities:
- Lead end-to-end bid processes, fostering seamless communication among team members.
- Ensure accurate and up-to-date project records within ERP systems, leveraging version control and organisation techniques.
- Develop and maintain SharePoint infrastructure, facilitating efficient access to bid-related documents.
- Collaborate with colleagues to streamline tender programs, focusing on budgetary and organisational aspects.
- Effectively manage bid-related communications, responding promptly to RFI's and coordinating team responses.
- Organise and conduct comprehensive tender review meetings, preparing detailed supporting materials and presentations.
Required Skills and Qualifications:
- Proven experience in administration or coordination roles, preferably with exposure to bid, estimating, or construction environments.
- Demonstrated expertise in document management, with experience using SharePoint or similar systems.
- Superb written and verbal communication skills, enabling effective collaboration and stakeholder engagement.
- A collaborative mindset, with a willingness to learn and adapt to the pre-contracts/bids process.
