Job Description:

The Senior Conference Planner role is pivotal in delivering exceptional customer experiences for attendees, sponsors and associates at conferences.

Key Responsibilities:

  • Lead the operational delivery of conference agenda elements across multiple concurrent events, ensuring timely execution and financial management.

  • Collaborate with conference operations teams to guarantee seamless event delivery, fostering effective relationships and sharing best practices globally.

  • Partner with program management to design a client-focused conference agenda, developing new processes for session management and agenda guidelines.

  • Design and manage client-facing websites and conference apps showcasing all session information for attendees, adhering to agenda go-live deadlines.

  • Utilize data analysis to enhance attendee engagement and predict behavior, informing conference element decisions and identifying regional attendance trends.

  • Maintain the conference master planner, ensuring up-to-date session information and room allocation for stakeholders.

  • Attend conferences as onsite lead, overseeing session execution, data collection and agency partner liaison work.

  • Collaborate with content leadership on projects to scale business operations and implement best practices in the APAC region.

  • Conduct post-conference analysis, implementing changes and creating detailed reports for review with management or team members.

Expected Outcomes:

  • Deliver high-quality conferences on time, within budget and with attention to detail.

  • Ensure conference consistency through standardized processes, project management and best practices.

  • Develop comprehensive knowledge of Gartner's conference business, including its value proposition for attendees and exhibitors.

Requirements:

  • Bachelor's Degree preferred.

  • 3-5 years of relevant event experience.

  • Experience working in corporate environments.

  • Strong interpersonal skills and ability to build cross-functional relationships.

  • Creative problem solver with attention to detail.

  • Team player with desire to learn and grow.

  • Excellent written/oral communication and presentation skills.

  • Ability to adapt and implement change, striving for continuous improvement.

  • Excellent organizational skills and ability to work under pressure, meet deadlines and thrive in fast-paced situations.

  • Willingness to support onsite conferences approximately 20% of time.
