
Time and Attendance Specialist

The Time and Attendance Specialist is the functional and technical expert for workforce management systems. This role demands a thorough understanding of timekeeping, scheduling, and attendance tracking, along with the ability to analyse data and ensure compliance with labour laws and internal policies.
This includes defining business requirements, configuring the system, conducting user testing, and deploying process solutions that improve system functionality and reduce administrative burden.
Supporting both BAU and project related work, this specialist will collaborate with stakeholders to develop and implement process improvements, ensuring the system is utilised optimally.
Key Responsibilities:- System Administration: Manage and maintain the workforce management platform, including user access, configuration updates and system troubleshooting.
- Perform data audits and business process audits on a periodic basis for compliance and governance.
- Ensure the accuracy and integrity of timekeeping data, supporting smooth payroll processing.
- Work with Payroll and HR teams to maintain organisation structure integrity within the WFM system and related employee data as required.
- Identify and configure the WFM system in line with labour laws, Awards and Enterprise Agreements.
- Support in the development of test scenarios specific to system improvements, enhancements and new functionality and complete user acceptance testing.
- Facilitate change and configuration enhancements, effectively plan, and manage communication of the changes to impacted stakeholders.
- Support leaders, managers, and team members to embrace change and manage through the transition from current to future state.
- Support the time and attendance team by providing expert knowledge and critical thinking skills.
- Qualifications:
- Minimum of 3+ years of experience in timekeeping, payroll, or workforce management roles.
- Experience with workforce management systems, preferably using UKG WFM or similar systems.
- Experience in configuring and testing time and attendance systems, and troubleshooting integration issues.
- Strong ability to analyse timekeeping data, create custom reports, and interpret trends for decision-making.
- Familiarity with relevant labour laws, timekeeping regulations, and payroll compliance requirements.
- Expertise in using pivot tables, VLOOKUP, and other data analysis tools.
Collaborate with cross-functional teams to redesign workflows that improve system functionality and reduce administrative burden.
Engage with key stakeholders regularly to review benefit realisation progress, providing updates on performance and ensuring alignment to maximise the system's impact.
